Frequently asked questions

Grant Writing FAQs | NGO Funding Support

Whether you're new to government grant funding or seeking to strengthen your grant strategy, this FAQ explains how grant writing and funding support services work for NGOs in Australia, and how Clarity Insight helps organisations secure government grants, design programs, and build the capacity government looks for in long term partners.

Grant Writing FAQs for Australian NGOs

Clarity Insight provides specialist grant writing and funding strategy for Australian non-government organisations (NGOs), not-for-profits and Indigenous community-controlled organisations. Our focus is disability, youth, youth justice, housing and homelessness, domestic and family violence, aged care and related community services.

These FAQs explain how we approach grant applications, what makes an opportunity worth pursuing and how to prepare a credible funding proposal. They also outline the sector-specific questions we help organisations work through before applying.

Working with Clarity Insight

What does a grant writer do for an NGO?

A grant writer helps an NGO turn its community knowledge, proposed activities and supporting evidence into a clear funding application. Clarity Insight goes beyond editing: we assess the opportunity's fit, work through the assessment criteria and help explain why the proposed approach is needed, achievable and worth funding. The aim is to make the case for your organisation easy to understand and assess, without overstating what it can deliver.

What makes Clarity Insight different from a general grant-writing service?

Clarity Insight specialises in government grants for NGOs and community organisations, drawing on experience in government funding-program design and management, and NGO leadership. We connect the funder's objectives with your organisation's strengths and the priorities of the communities you serve. Established in 2025, Clarity Insight builds on its consultants' earlier government and community-sector experience.

Does Clarity Insight work with organisations across Australia?

Clarity Insight supports organisations across New South Wales, Victoria, Queensland, Western Australia, South Australia, Tasmania, the Australian Capital Territory and the Northern Territory. We work with metropolitan, regional, rural and remote organisations. Our approach considers the applicant's location, community context and the particular Commonwealth, state or territory funding opportunity, rather than treating a national service model as suitable for every community.

How should an NGO choose a grant-writing consultant?

Choose a consultant who can explain how they assess funding fit, understand your sector and turn evidence into responses to the actual criteria. Ask about relevant experience, who will do the work, what information you must provide, the review process and the agreed scope and fees. If results are quoted, ask what period and applications they cover. A useful first conversation should identify practical questions, not simply promise a successful application.

Sector-specific grant-writing expertise

Does Clarity Insight write disability and NDIS-related grant applications?

Clarity Insight supports disability organisations seeking grants for inclusion, participation, capacity building and related community outcomes. We help clarify the barriers a proposal addresses, how people with disability inform its design and what meaningful change it aims to achieve. We also distinguish the proposed grant-funded activity from existing services and other funding arrangements. Our focus here is organisational grant applications, rather than individual National Disability Insurance Scheme (NDIS) plan applications.

Does Clarity Insight write grants for youth services?

Clarity Insight supports youth organisations to develop applications that connect a defined group of young people with a clear need, practical activities and achievable outcomes. We focus on how young people shape the proposal, how they will access and remain engaged with it, and how the organisation will provide a safe and inclusive service. A useful starting point is to explain who is not being reached by existing services and why.

What does Clarity Insight focus on in youth justice grant applications?

For youth justice applications, Clarity Insight focuses on a credible pathway between the proposed intervention and the change it seeks to achieve. That means clarifying the cohort, referral arrangements, community and family involvement, cultural safety, partner responsibilities and realistic outcomes. For diversion or early-intervention proposals, we help distinguish activities delivered from changes in young people's circumstances, without claiming that one program alone can resolve complex justice-system outcomes.

Can Clarity Insight help with housing and homelessness grants?

Clarity Insight supports housing and homelessness applications by distinguishing what is needed to establish a project from what is needed to make the proposed service workable. For capital proposals, we examine the readiness of the site, approvals, costs and delivery arrangements against the guidelines. For service proposals, we focus on access, referral pathways, tenancy support and partnerships. Where a proposal combines both, the application needs to explain how they connect.

Do you write domestic and family violence grant applications?

Clarity Insight supports domestic and family violence organisations to present proposals centred on safety, access and a clearly defined service response. We help explain the intended cohort, referral pathways, specialist capability, partnerships and trauma-informed approach. Our application work considers how community or victim-survivor input can inform the proposal without unnecessary disclosure of personal information. We distinguish intended outcomes from guarantees about safety or the actions of other people.

Can Clarity Insight help aged care organisations apply for grants?

Clarity Insight helps aged care and community-care organisations connect a proposed project with the needs of older people and the objectives of the funding opportunity. We focus on access, workforce capacity, cultural responsiveness, partnerships and the practical changes the project will make. We check the particular guidelines rather than assume an existing provider status or service contract makes an organisation eligible for a separate grant.

How does Clarity Insight support Indigenous community-controlled organisations?

Clarity Insight works with Aboriginal and Torres Strait Islander community-controlled organisations to translate community priorities into clear funding applications while respecting local leadership and decision-making. We seek to understand who has authority to approve the proposal, how community input should be represented and what information is appropriate to share. Our role is to support the organisation's own case for funding, not replace community knowledge with a generic model or speak on the community's behalf.

Do you support grants in other community-service areas?

Clarity Insight also considers related community-service opportunities, including social inclusion, employment participation and community capacity building. We assess whether the opportunity fits our expertise and your organisation's purpose before agreeing to an engagement. For projects spanning several sectors, we help identify the central need and intended outcomes so the application presents one coherent proposal rather than a collection of loosely connected activities.

Deciding whether to apply

How do we know whether a grant is worth applying for?

We recommend checking four things before drafting: eligibility, strategic fit, readiness and the resources required to apply and deliver. A large funding amount is not enough reason to pursue a grant. Clarity Insight helps assess whether the opportunity supports your community priorities, whether the evidence is available and whether the proposed commitments are realistic. Sometimes the better decision is to strengthen the proposal or pursue a more suitable opportunity.

What is the difference between being eligible and being competitive?

Eligibility concerns whether an applicant meets the requirements to be considered; competitive assessment concerns the proposal's merits against the published criteria and, where applicable, other applications. Clarity Insight treats these as separate checks: first establish whether the organisation and activity fit the rules, then assess the strength of the evidence and proposal. Passing an eligibility check is not a reason to assume the funding case is strong.

Can small, regional or remote organisations compete for government grants?

Small, regional and remote organisations should assess opportunities against their own strengths and capacity, rather than assume size determines their prospects. Clarity Insight helps make local knowledge, community relationships and relevant experience explicit in the application. We also test practical constraints such as staffing, travel, access and partnership arrangements. We would not recommend promising a larger service footprint simply to make the application appear more ambitious.

Does Clarity Insight guarantee that a grant application will succeed?

Clarity Insight does not guarantee a grant award or claim influence over a funding decision. Our role is to help prepare a clear, evidence-based application that responds to the opportunity's requirements. We focus on the elements within the applicant's control: fit, accuracy, a workable proposal and supporting evidence. Extensive Government experience informs our approach; it does not mean government endorsement or preferential treatment.

Preparing a stronger application

What makes a strong government grant application?

We look for a clear connection between community need, the grant's objectives, proposed activities, organisational capability, costs and intended outcomes. Each response should answer the relevant criterion and show the evidence behind the claim. We also check consistency: the narrative, budget, timeline and attachments should describe the same project. Clear writing cannot compensate for an unresolved delivery assumption or a budget that does not support the proposed work (Contrary to popular belief – AI does not make grant writing easier or produce better quality in a competitive field).

What evidence should an NGO use in a grant application?

Start with evidence that explains the specific need, supports the proposed approach and demonstrates your organisation's capability. This may include relevant local data, appropriately de-identified service information, community consultation, previous outcomes and confirmed partner contributions. Clarity Insight helps distinguish what each piece of evidence actually shows from what the application proposes to achieve. For example, demand for a service demonstrates need; it does not, by itself, demonstrate that the proposed approach will work.

What grant-application mistakes does Clarity Insight look for?

We look for responses that describe the organisation without answering the question, unsupported claims, unclear partner responsibilities and budgets that do not match the activities. We also check whether targets are realistic and whether reused material refers to the wrong funder, location or cohort. Another important check is the difference between activities and outcomes: running a workshop is an activity, while a change in participants' knowledge or access is an intended outcome.

Can Clarity Insight review a draft or an unsuccessful application?

Contact Clarity Insight to discuss a focused review of an existing draft or an unsuccessful application. Share the guidelines, application and any assessor feedback so we can assess the scope and whether we can help. A review can examine how directly the responses address the criteria, where evidence is missing and whether the proposal is internally consistent. Without assessor feedback, we would not present our observations as the confirmed reasons for rejection.

Costs, timing and getting started

How much does professional grant writing cost?

The cost of working with Clarity Insight depends on the agreed scope, the application's complexity, the information already available and the time required. The size of the grant alone does not define the work involved. Send the guidelines, deadline and a short overview of your proposal so we can discuss a tailored scope and proposal. We do not publish a single price that assumes every organisation needs the same support.

When should we contact a grant writer?

Contact Clarity Insight as soon as you identify a relevant opportunity, or earlier if you want to discuss funding readiness. The work may involve clarifying the proposal, gathering evidence, confirming partners, preparing the budget and allowing time for internal approval. If the deadline is close, send the documents and available material first. We can then assess whether the remaining time and scope are realistic, rather than promise a standard turnaround.

What information should we prepare before contacting Clarity Insight?

Start with the grant name, guidelines, closing date and a brief description of your organisation, community and proposed project. Useful material includes an existing draft, indicative budget, relevant evidence, partner arrangements and the details of whoever will approve the application. You do not need a finished proposal to make an enquiry. Avoid sending identifiable participant information or sensitive client records with an initial enquiry.

How do we start working with Clarity Insight?

Use our grant-writing enquiry form to describe your organisation, sector, location and funding goals. Include the grant deadline if you have a specific opportunity in mind. We can then discuss fit, availability and the scope of support before preparing a tailored proposal. If you have not identified a grant, explain the community need or organisational priority you want to address. Clarity Insight also has a detailed onboarding questionnaire that can be sent to you in order to set up your company profile.
